Fraser Street Medical AI Scribe Policy
At Fraser Street Medical (FSM), we are committed to providing high-quality, patient-centered care. To enhance documentation, improve efficiency, and allow clinicians to focus more on patients, FSM will implement AI scribes as part of our medical practice.
1. Purpose
The AI scribe is an advanced tool that securely transcribes and organizes medical notes during patient visits. This technology supports accurate documentation, streamlines workflows, and enhances the overall patient experience.
2. Implementation & Use
- AI scribes will be used during medical visits to assist clinicians with real-time documentation.
- Clinicians will review and proofread all AI-generated notes before finalizing records.
- Patients will be informed when an AI scribe is in use and can request manual documentation if preferred.
3. Privacy & Security
- AI scribes at FSM comply with PIPEDA (Personal Information Protection and Electronic Documents Act).
- All data is encrypted, confidential, and only accessible by authorized personnel.
- Patient information will not be stored beyond what is necessary for medical documentation.
4. Patient Consent
- Patients must provide one-time consent before an AI scribe is used in their care.
- FSM will gradually introduce consent forms via email and in-person visits.
- Patients may opt out at any time by informing their clinician.
5. Benefits to Patients
- More clinician focus – reduced screen time and better patient interaction.
- More accurate records – complete and well-organized documentation.
- More efficient visits – streamlined workflows to enhance care delivery.
6. Patient Rights & Opt-Out Policy
- Patients have the right to decline AI scribe use without any impact on their quality of care.
- Alternative manual documentation will be provided upon request.
7. Questions & Support
Patients are encouraged to speak with their clinician if they have any concerns or require further information about AI scribes. FSM remains dedicated to innovation, security, and excellence in patient care.
- Same-day fit-in appointments are available for urgent medical concerns.
Walk-in appointments are accepted based on availability (for registered patients only). - Urgent concerns include:
- Persistent respiratory symptoms (cough/cold lasting more than a week)
- Infections (e.g., UTIs)
- Eye concerns (red eye, blurry vision)
- Allergic reactions
1) Late Appointments – If you are more than 10 minutes late, you may be asked to re-book your appointment.
2) Missed appointment – There will be a $35 charge if you do not provide at least 24 hours cancellation notice.
Our No Show Policy and Late Visit Policy will be enforced at the discretion of the physician. You may be called in to review this policy in person with your physician if there is a pattern of no shows or late appointments. Fees may apply for NO SHOWS.
- Please email appointments@fraserstreetmedical or call us 24 hours in advance to cancel an appointment.
- Please show up 10 minutes in advance so that you have enough time to find parking and check in.
- Update your email, phone number and street address with the receptionist.
- Seek your health care from our clinic whenever possible.
- Have every other professional send us your updated records or info about recent visits.
There are many services that the Medical Services Plan (MSP) does NOT cover. A comprehensive list is available at the reception desk. We will bill patients directly for these services:
- Travel Medicine advice
- Filling out forms; Writing Letters
- Insurance Reports
- Driver’s and Employment Physicals
- Sick Notes
- Phone Prescription Refills
- Transfer of Patient Records
1) Same Day Fit Ins and Emergency Policies – Now available same day fit in service for any urgent appointments. What defines an urgent appointment? Examples include:
- Cough or cold for more than 1 week
- Urinary tract infections
- Red eye or blurry vision
- Allergic reaction
- Emergency medication refills
Only if you are a patient at our clinic and if you are sick or need immediate care when the office is closed, please try the following options:
1) For 24-hour FREE advice, call the BC Nurse Line at 811 to speak to a registered nurse or clinical pharmacist.
2) If it is a true emergency, please dial 911 or go to the nearest emergency department.
3) If you feel option 1 and 2 is not appropriate, to speak to a ON CALL PHYSICIAN ONLY FOR MEDICAL ISSUES, NOT BOOKING ISSUES: CALL US at 604-900-2199 please be aware that AS PER PROVINCIAL GUIDELINES, we reserve the option of charging for this uninsured service.
